Front Desk Receptionist

Waterstone at the Circle

Reporting To: Executive Director Position Location: Waterstone at The Circle, Boston, MA Hours: Full-time 8am-4pm                                    Duties: Answering phones, greeting visitors, administrative responsibilities, some light filing and computer projects. Will act as the customer service rep for our current sales office location and will transition to the new community at the time of opening.  At that time, will work with families and liaison between department managers. Qualifications: Pleasant, ability to work with others, some office experience helpful. Computer experience a plus. Must be outgoing and personable, good communicator, courteous and have excellent customer service skills.  Computer and phone experience required. Some experience in a Senior Living setting or Assisted Living Facility preferred. Life Enrichment Director

Reporting To: Jake Quigley, Executive Director Hours: Full-time   Responsibilities: Responsible for organizing, planning, facilitating and directing the overall operations of the Programming and Activities Department in our Independent Senior Living Community. Provides a creative and social atmosphere throughout the community, promoting resident participation through regularly scheduled programs and guest speakers. Creates, publishes and implements the monthly resident Life Enrichment Calendar. Hires, coordinates and supervises department staff. This position coordinates across departments to include Marketing/Sales and Dining. Transports resident’s to outside events and appointments. This location is opening early 2018! Requirements: Must be a self-starter with excellent attention to detail and strong communication skills. Must have experience in program development in a senior living community setting or similar setting. Must provide outstanding customer service. Must have a flexible schedule as some evenings and weekends will be required on a rotating basis. Some experience in Senior Living preferred. College degree or equivalent life experience required. Strong computer skills required. Business Office Manager

Reporting To: Jake Quigley, Executive Director Hours: Full-time   Responsibilities: Responsible for day-to-day management of the business office including: processing payroll, HR functions, employee relations, employee benefits, on-boarding, personnel file maintenance, residents’ personal needs accounts and supervises reception staff. Responsible for accounts payable & accounts receivable. The Business Office Manager is responsible for supervising 24/7 front desk staff. This location is opening early 2018! Requirements: We require a minimum of 3 years of experience in a Senior Living Community. Must be computer proficient and have strong skills in Microsoft Outlook, Word, and Excel. Experience in ADP Payroll software a plus. Must be detailed oriented and able to multi-task in a fast paced work environment. Excellent written and verbal communication skills required. Must provide outstanding customer service. Must have a flexible schedule as some evenings and weekends will be required on a rotating basis. Move-In Coordinator / Concierge

Reporting To: Executive Director Position Location: Waterstone at The Circle, Boston, MA Hours: Full-time (40 hrs/wk), schedule must be flexible. Responsibilities: The Move-in Coordinator is a support role to the Sales and Marketing team. Responsibilities include: creating move-in packets, coordinating the moving efforts and logistics for new residents entering the community, liaisons with family and team members for transition, provides outstanding customer service to residents and family members during and after the orientation period, communicates with internal departments, assists with tours and marketing events as needed. Qualifications: Must be organized, detail oriented and able to work as a team with and with internal departments. We require exceptional customer service skills. Must be able to problem solve and be able to make decisions. Qualified candidates must exhibit professional, personable and pleasant demeanor. Must have excellent written and verbal communication skills, good computer skills and courteous phone etiquette. Some experience in the Senior Living industry preferred or Sales and Marketing preferred. Director of Community Relations / Director of Sales and Marketing

Responsibilities:  Will be responsible for all aspects of internal and external sales and marketing of our New Independent Living Community opening soon!! Develops and executes a quarterly marketing overview, as well as a monthly marketing plan. Evaluates and identifies occupancy strategies. Develops and builds relationships with families, clients prospects within the community and referral sources. This position is an added position working on a team of 2 Sales Directors due to growth within the department. Qualifications: We require a minimum of 3 years of experience executing the sales and marketing process in the Senior Living, Real Estate or Hospitality industry. Proven ability to close sales. Must be a dynamic self-starter, organized and able to work as a team with internal departments. We require exceptional customer service skills.
